Charleston Stage is seeking a highly organized, detail-oriented Administrative Assistant to support the daily operations of our Education Department. This part-time position plays a vital role in ensuring the smooth administration of classes, camps, residencies, and outreach programs that serve thousands of students each year.
The ideal candidate is a proactive self-starter who thrives in a fast-paced, arts-focused environment and enjoys balancing administrative tasks, customer service, and creative support.
Key Responsibilities
Administrative & Program Support
- Provide comprehensive administrative support for the Education Department, including scheduling, data entry, document management, and general office coordination.
- Serve as a primary point of contact for families, teaching artists, and staff regarding education programs.
- Assist with program logistics for classes, camps, residencies, and special events.
Registration & Database Management
- Manage program registration and enrollment using Jackrabbit.
- Maintain accurate student, family, and program records.
- Process payments, refunds, rosters, waitlists, and reports as needed.
- Troubleshoot registration issues and provide excellent customer service to families.
Materials & Communications
- Create and update education materials, including class descriptions, schedules, handouts, rosters, internal documents, and reports.
- Assist with drafting and distributing emails, newsletters, and other program communications.
- Support the preparation of materials for teaching artists and students.
Marketing & Social Media Support
- Assist with education-related marketing efforts, including social media content creation and scheduling.
- Collaborate with Education and Marketing staff to promote classes, camps, and special programs.
- Help gather photos, videos, and content from education programs (as appropriate).
General Support
- Support Education Department projects as assigned.
- Assist with on-site support during peak program times as needed (occasional evenings or weekends may be required).
Qualifications
- Previous administrative or office support experience required.
- Experience with registration or database systems (Jackrabbit, ConnectTeams).
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Proficiency with Google Workspace
- Comfort with social media platforms (Instagram, Facebook, etc.).
- Ability to manage multiple tasks and meet deadlines.
- Interest in arts education or nonprofit work strongly preferred.
- MUST be a self-starter and able to work independently.
Schedule & Compensation
- Part-time position working approximately 25 hours per week.
- Hourly rate of $22 per hour.
- This position is non-exempt and not eligible for Charleston Stage health benefits.
- Schedule may include occasional evenings or weekends during peak programming periods.
